VAT filing without stress: the checklist that prevents every mistake
The VAT return is the most common tax mistake among Dutch entrepreneurs. With this checklist and a well-organised administration you are on time and correct every single period.
Most entrepreneurs file VAT every quarter. The deadline is strict: both the return and the payment must be in within one month after the quarter ends. Late payment immediately triggers a penalty and interest — even if your return itself was on time.
These five points cause the most problems:
- Invoices that are not booked, or booked late, so the return does not match your administration
- VAT on small business costs that gets overlooked (parking, client entertainment, training)
- Reverse-charged VAT from foreign suppliers or subcontractors that is processed incorrectly
- Private use of business assets (for example a company car) on which VAT must be paid
- The supplementary return: if you later discover an error in an earlier return, you must correct it with a supplementary filing
A good setup prevents almost all of this. Make sure your bookkeeping software assigns VAT codes automatically, store all invoices digitally and link your bank account to your administration. We work with Exact in practice: invoices, bank and VAT then flow together automatically and the filing essentially becomes a check instead of a hunt.
For small entrepreneurs with turnover up to € 20,000 a year the small-business scheme (KOR) can be interesting: charge no VAT and no periodic returns. Note: you also cannot reclaim VAT on your costs, so with large investments the KOR is often disadvantageous.
In short
Set up the administration properly and the VAT return becomes a five-minute check instead of a hunt.
